Analyst – Vendor Compliance
- Support merchandise vendors from beginning to end of AEO processes based on assigned supplier group. Act as primary liaison between Vendor and AEO business to ensure the timely processes of AEO goods with reduced friction.

- Support vendor improvement and operational efficiencies within Supply Chain via vendor meetings, written communications or training support. Create and maintain vendor training materials for specific PLM tasks.
- Collaborate with external and internal partners to identify and resolve compliance issues including but not limited to packaging, barcode labels, polybags, tickets, packing list and carton markings.
- Review compliance practices and procedures; determine improvements and work to implement changes as appropriate by bringing solutions and ideas forward to management.
- Support and grow AEO ticket program which includes maintenance and creation of ticket types, default ticket chart, size charts, new program enhancements, supplier relations, etc.
- Support the efforts to ensure supply chain efficiencies and aid vendors in pre and post shipment requirements.
- Develop and/or maintain Standard Operating Procedures as needed but no less than twice yearly.
- Utilize a wide range of skills and work across major functional areas such as production, merchandising, finance and operations, to drive the performance of strategic vendor partners.
- Working collaboratively with the Global Supply Chain key partners, develop and maintain supply chain scorecard and accompanying metrics to assess vendor performance and communicate results to the business.
- Support business and vendors on PLM updates to ensure a best in class vendor experience.
- Support updates of the Corporate Vendor Manual.
- Collaborate with internal partners to ensure updates are made timely in order to reduce friction in the supply chain by having the most up to date process and information available to AEO’s supplier base for to support the goal of operational excellence.

GENERAL FUNCTION
The Manager, Vendor Compliance takes the lead for on-boarding new accounts, analyzing and implementing service changes with active accounts, identifying and resolving service issues and maintaining accurate documentation of existing capabilities and process flows. Maintains involvement with the IT, sales, operations, and warehouse teams to ensure requirements are clear and executed to customer expectations based on vendor guides and agreements. This role will also lead the team of analysts to ensure customer requirements are up to date, oversee new initiatives, and allocate any adhoc .
MAJOR DUTIES AND RESPONSIBILITIES
- Streamlines process and documentation on current Customer Compliance requirements and capabilities, communicating with internal and external users as required.
- Oversee vendor guides and advise IT/DC/Operations teams on requirements and work with respective teams to develop new process & IT developments as needed,
- Leads and support the teams’ successful on-boarding of new EDI and non-EDI accounts, including:
- Determines account requirements and potential service gaps by reviewing compliance manuals, EDI maps, routing guides and other media as required.
- Partners with internal business groups to plan, develop, test implement and document all processes required by the new accounts.
- Coordinates with internal and external business groups to secure compliance waivers from the accounts as needed while communicating potential risks for non-compliance.
- Assess, analyze and coordinates implementation for service modifications (packing, shipping logistics and data) of current accounts while completing audits to ensure continued compliance.
- Manages the vendor compliance violations (chargebacks) process and identifies opportunities to improve performance.
- Research and dispute Chargebacks with customers and escalate as needed
- Report key finding on Chargebacks and operations performance to key stake holders using tools such as power point and EXCEL.
- Present key findings and trends to management on chargeback and operational issues.
- Lead on the vendor compliance side for annual project that collaborates with DC, Logistics and customer requirements management
BASIC QUALIFICATIONS
- 5+ years’ experience with vendor compliance
- Experience with major retailer compliance requirements, routing guides, and vendor violation processes
- Basic knowledge of EDI transaction
- Ability to work both independently and as part of a team with minimal supervision
- Able to organize and prioritize workload to meet deadlines; demonstrates logical analysis and problem solving skills
- Inquisitive and innovative approach to problem solving and capitalizing on opportunities
- Advanced proficiency in Microsoft Access and Excel (macros, pivots, lookups, etc).

The Health Plan Vendor Compliance Manager is responsible for being the primary liaison between vendors/subcontractors (e.g. Doral Dental, VSP, etc.) and State Sponsored Business in relation to meeting state contractual requirements and federal/state laws.
Primary duties may include, but are not limited to:
- Obtain, review, analyze and roll up as needed required reports from vendors and submit to contract advisors as needed for reporting to the state.
- Develop and populate monthly report cards to monitor performance guarantees of vendors/subcontractors.
- Participate in Health Plan Magellan Collaborative Committee and participate in Service Committee bringing required reports for each vendor as needed.
- Set up vendor oversight meetings bi-annually to review contractual requirements, reports and performance.
- Audit vendor for contractual compliance and monitor any corrective action plans needed from vendor.
- Participate in negotiations for contracts in terms of past and future performance guarantees and performance results.
Qualifications
Minimum Requirements
- Requires a BA/BS and minimum of 6 years compliance experience; or any combination of education and experience, which would provide an equivalent background.
Preferred Qualifications
- MS/MBA preferred.
- Detailed knowledge of MS state Medicaid compliance requirements and experience working with state programs preferred.
